EXECUTIVE ASSISTANT (CONTRACT)

We’re looking for an enthusiastic digital savvy producer/executive assistant who will drive a variety of projects from conception to execution. You have an acute sense of timelines, budgets and quality – ensuring clients, team members and project goals are achieved. You will be at the center of all projects at R2. You have high emotional intelligence and strive to understand what makes a team member successful. You wear whatever hat is required - a cheerleader, assistant, therapist, or best friend.

This role is a contract position, approximately 20h per week to start with room to grow rapidly into full-time employment. Must be based in the Salt Lake City metro area, work will be remote but must be available for daily/regular in-person meetings.

WHAT WILL YOU DO?

  • Manage multiple, project level engagements
  • Understand that change is inevitable and prepare the team to rapidly adapt
  • Create, update and manage project timelines to ensure clear expectations for delivery
  • Help to arrange travel and accommodation for coworkers and management
  • Take the lead in scoping and creating budget estimates, work orders and change orders ensuring input for all teams
  • Guide the team in understanding and productively engage in the work
  • have effective team communication including facilitating information sharing, budgets, timelines, resourcing for and guiding the activities of cross-functional team members, both internally and externally
  • Manage internal agency fee budgets and external hard costs, ensuring accurate weekly invoicing worksheets to finance and setup/conduct project post mortems
  • Author weekly status reports and burn reports, as well as pro-actively forecast project budgets.
  • Escalate project issues to appropriate parties and pro-actively mitigate risks utilizing pre-project risk assessment as well as ongoing risk register
  • Deliver value to the agency and our clients by ensuring project goals and objectives are achieved

YOU HAVE

  • Knowledge of digital and branding projects
  • Experience producing a variety of project types including digital, print, photography, experiential and more
  • Excellent communication and are comfortable working with large multi-disciplinary teams, clients and vendors
  • Strong negotiation skills to work with clients and vendors
  • A passion for delivering the best creative work within a set budget
  • A sense of urgency
  • Extreme attention to detail
  • The ability to monitor project risks and scope creep and address potential problems and solutions
  • A willingness to mentor other producers on the team
  • strength as the lead - coordinating the intricate details needed to create the work we are known for

  • Create the best work environment possible by ensuring the office looks nice and tidy
  • Look after visiting clients, making sure everything’s arranged perfectly
  • Order office supplies, groceries
  • Help to arrange travel and accommodation for coworkers and management
  • Organize internal and external events and be main point of contact for event organisation within the company
  • Handle facility issues such as arranging handymen, plumbers or whatever is needed
  • Support our Finance Manager with invoicing and general administration
  • Reply to all office inquiries that come in through our info mail

YOU HAVE

  • At least one year of relevant experience in at least one or a few of the tasks
  • Great organizational skills
  • A strong getting things done mentality and you’re very resourceful
  • Proficiency in the English language
  • The ability to deal with people from all walks of life
  • Capability to manage and prioritize tasks without supervision

R2 is seeking out a top-shelf Junior Art Director/Graphic Designer for contract work that could evolve rapidly into full-time employment. We are looking for horsepower and uncanny creativity. We need someone who is resourceful and imaginative. A talented ‘go-getter’ to oversee all creative digital and print solutions and initiatives.

To be successful in this role, the ideal candidate will have an in-depth knowledge of graphic design, styles and layout techniques. The position also requires experience executing marketing projects from conception to production, including websites, brochures, social media, product packaging and more.

WHAT WILL YOU DO?

  • Oversee all design projects, from conception to delivery

  • Apply typography techniques
  • Generate ideas to portray concepts and advertise products/services
  • Increase user friendliness in digital products
  • Maintain brand consistency throughout all our marketing projects
  • Liaise with marketing and design teams to ensure deadlines are met
  • Stay up-to-date with industry developments and tools

YOU HAVE

  • Proven work experience as a Graphic Designer Art Director or similar role
  • Portfolio of completed design projects
  • Hands-on experience with image editing software, like Photoshop and Adobe Illustrator
  • Proficient in design software (e.g. Adobe Creative Suite, Sketch, InVision, etc.)
  • Strong aesthetic skills with the ability to combine various colors, fonts and layouts
  • Attention to visual details
  • Ability to meet deadlines and collaborate with a team
